About this position: The Administrative Assistant, Facilities is responsible for providing administrative, procurement, facility systems and quality assurance support to the Director, Facilities and other members of the team.
Duties & Responsibilities:
• Updates & maintains departmental programs including, but not limited to: facility access control, telephones and parking
• Coordinates bookings for transient staff housing
• Maintains accurate annual Facilities fire/life/safety audits records & provides updates on any deficiencies
• Assists in the administration of special projects
• Updates the Corporate Uniform program and all departmental manuals, as required
• Conducts procurement research and maintains files for corporate rates and contracts
• Assists with various expense and measurement reports (e.g. KPIs)
• Responsible for departmental administrative support services including, but not limited to: design/distribution of reports, proposals, memos and letters; maintaining records and filing systems (electronic and paper-based); ordering office supplies; preparing expense claims; coordinating travel requirements; etc.
-Maintains inventory of all owned and leased properties, leases and rental commitments
- Coordinates staff scheduling and rotational staff scheduling
• Other duties as assigned
Skills & Qualifications:
• Previous experience in a related work environment considered an asset (e.g. facility management, aviation industry, northern operations, etc)
• Must be proficient in MS Office (Word, Excel, and PowerPoint) with strong internet research skills
• Solid business writing, analytical and proof-reading skills required
• Exceptionally organized with ability to identify & adjust priorities
• Demonstrated ability to manage multiple tasks/projects at one time and work independently with minimal supervision
• Excellent interpersonal skills focused on team work and internal/external customer satisfaction
• Ability to communicate in Inuktut a definite asset
• Ability to obtain and retain an Airport Restricted Area Pass in accordance with the Airport Area Access Clearance Program regulated by Transport Canada
- May require frequent attendance in office
- May require occasional attendance at airport facilities remotely
