Administrative Assistant, Commercial

The Administrative Assistant supports day-to-day operations for facilities and executive support to the VP of Commercial, VP of Operations, and VP of Maintenance, and collaborates with the Executive Assistant. Responsibilities include overseeing facilities logistics/operations, coordinating travel, arranging meetings and preparing documents in support thereof, supporting events and internal communications. This role is key to ensuring a smooth, well-organized, and engaging workplace experience.
WORK HOURS: Office hours (weekends and evenings as needed)
LOCATION: Vancouver Bentall/Richmond South Terminal
DEPARTMENT: Commercial

Responsibilities and Expectations
- Provide executive administrative support, including calendar management, meeting coordination, and confidential document handling.
- Oversee office operations and facilities management at Harbour House and Bentall Place, ensuring professional, safe, and well-maintained workspaces.
- Manage ID/access cards and liaise with property managers, vendors, and service providers.
- Plan and coordinate internal events, town halls, employee forums, and offsite activities.
- Act as front-desk representative, greeting employees and guests professionally.
- Reconcile and submit expenses for executives and team members.
- Draft, format, and finalize correspondence, presentations, and reports.
- Support ad hoc projects and initiatives, including office moves, sponsorships, and strategic events.
- Maintain office supplies, records, and documentation to support efficient operations.
- Demonstrate professionalism, discretion, and strong interpersonal skills across all interactions.
Qualifications/Assets
- High school diploma required; post-secondary diploma in Business Administration, Office Administration, Event or Hospitality Management preferred.
- 2–4 years of administrative or office support experience in a corporate, professional services, or fast-paced environment.
- Experience supporting executives with calendars, meetings, travel, and confidential documents.
- Knowledge of office operations, vendor management, and facilities coordination.
- Experience organizing internal events or small-scale corporate functions is an asset.
- Strong organizational, multitasking, and prioritization skills.
- Excellent written and verbal communication, with discretion handling sensitive information.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Teams or SharePoint
- Organizational agility, strong attention to detail, and ability to manage multiple priorities.
- Professionalism, discretion, and high emotional intelligence in dealing with employees, executives, and external partners
