Role Introduction
This role is accountable and responsible for providing support to the Digital & IT departments’ strategy & planning function, in particular with regards to the departments’ growth in the Greater Bay Area. This includes support in planning, productivity improvement, providing analytical insights and administrative support.
Key Responsibilities
Strategy & Planning:
- Support the growth and operations of the Digital & IT departments in the Greater Bay Area, providing regular status reports and analytical insights to management
- Support establishment and review of operational processes and guidelines, and continuously drive improvement in processes to improve efficiency
- Ensure proper governance and compliance to our processes, policies and standards
- Act as a key contact & escalation point for both internal and external parties on issues relating to the departments’ operations in the Greater Bay Area, and facilitate resolution of issues
- Help drive and execute engagement activities for our Digital & IT department colleagues in the Greater Bay Area
- Support any other tasks, events, activities as per management request
Financial Management:
- Support departmental budget and forecast processes
- Support on the review and execution of various service agreements
- Support various invoicing processes for both HKG and GBA campuses
Resourcing Management:
- Maintain and support departmental-wide resource information and trends analysis
- Manage and support on/off-boarding processes for Digital & IT colleagues in the Greater Bay Area offices
- End-to-end manage and support resource hiring process, from request to hired, for Digital & IT colleagues in the Greater Bay Area
- Support, establish and maintain governance processes and guidelines
- Ensure equipment is working properly to support departmental needs
Office Space Management:
- Support departmental-wide office space planning, assignment, and maintenance,
- Ensure the Digital & IT offices in the Greater Bay Area are well maintained as a high quality and pleasant space for our colleagues to work in
- Coordinate with landlord, facility management, property agent, and other parties (e.g. cleaning service) to ensure office space is running properly
- Support daily office operations and resolve enquiries independently
- Regularly review and execute on initiatives to improve our office space environment
- Ensure physical security equipment and systems are working properly
Requirements
- University Degree in analytical discipline – such as Computer Science, Information Systems, Accounting, HR management, or other related disciplines
- Minimum 3 years of working experience with at least recent 2 years in related position.
- Strong analytical, problem-solving, and presentation skills
- Good numerical skills, ability to derive and understand the stories behind numbers and be able to drive improvement
- Good interpersonal skills in areas such as teamwork, facilitation and negotiation
- Good communications abilities and relationship management skills
- Good communication skills in English and Mandarin. Cantonese knowledge is a plus
