Responsibilities - your mission
You will be part of a project team in the international and cross-divisional teams of Exhibitions, Events & Protocol to contribute to the creation of memorable customer experiences that enhance the Airbus brand and reputation by expertly managing the invitation and registration processes for Airbus events, exhibitions, and conferences, and providing expert support and driving perfect use of the event management platform.
This role encompasses a comprehensive onboarding program covering various modules. The successful candidate will demonstrate proficiency in the following areas after completion of training:
I. Event Invitation & Registration Management:
End-to-end invitation management: Design, distribution, reminders, surveys, and data analysis for all events (including exhibitions). This includes creating engaging invitations, managing distribution lists, tracking responses, and analyzing data to improve future events.
Participant list management: Manage and verify event and exhibitions participant lists, ensuring accuracy and eliminating duplicates across all event types.
Data management: Collect, analyze, and interpret event and exhibition registration data to inform decision-making and reporting. This includes identifying trends, creating reports, and using data to optimize future event planning.
Registration point of contact: Serve as the primary point of contact for all participant inquiries and registration-related issues. This requires excellent communication and problem-solving skills.
Reporting: Provide weekly and post-event reports to project managers and business focal points, summarizing key metrics and insights.
II. Expert Management of the Event Management Platform:
Driving perfect use of the platform is a key objective. This includes:
Champion the use of the platform across all relevant teams and inspire others teams towards platform adoption and efficiency.
Process Documentation: Develop and maintain comprehensive process documentation for all technical aspects of the platform.
Access Rights Management: Oversee and manage user access rights, ensuring security and efficient platform utilization.
Platform Optimization: Proactively identify areas for improvement in platform functionality and usability, suggesting updates and enhancements to the Business Owner.
Training & Support: Provide training and ongoing support to users to ensure they are effectively utilizing all platform features.
Requirements - our ideal candidate will have
Essential Skills: Proficiency in English, strong organizational skills, project management skills, problem-solving abilities, proactivity, reactivity, analytical skills, and excellent communication skills.
Desirable Skills: Prioritization expertise, excellent writing skills, additional language proficiency is a plus (French, German, Spanish), innovative thinking, event management experience, adaptability, teamwork abilities, data analysis skills, digital proficiency (Google Workspace preferred). Experience with event management tools is highly desirable.
Personality & Approach: This role is suitable for both candidates with significant event management experience and those with strong digital skills and a keenness to learn. Candidates should be organized, detail-oriented, proactive, and able to manage multiple tasks simultaneously in a fast-paced environment. A passion for driving platform adoption and ensuring perfect use is essential.
