Education & Job Requirements
* Associate’s degree or technical or vocational training in office administration or related field
* Minimum of 8 years of administrative or clerical support experience within a business environment
* Minimum of 5 years of experience supporting senior-level management
* Proficient in keyboarding, including 10-key
* Proficient in Microsoft Office applications, including word processing, spreadsheets, databases, email, and internet-based systems Job Duties & Functions
* Provide clerical and administrative support to Directors and senior management for at least 50 percent of the assigned workload
* Recommend and advise leadership on departmental administrative and communication matters within a fast-paced office environment
* Update leadership on client, business, and employee-related issues requiring attention
* Handle routine customer, interdepartmental, and personnel matters using independent judgment, including coordination with Finance, HR, and Legal departments
* Design, develop, and troubleshoot Microsoft databases and spreadsheets, including macros, linked systems, and security controls to standardize processes
* Train employees on customized database and spreadsheet tools and provide ongoing user support
* Prepare and edit presentations, reports, and communications with limited direction from leadership
* Analyze and audit expense reports for Vice President approval
* Generate statistical and ad hoc reports for management to support tracking and decision-making
* Coordinate logistics for meetings, seminars, and training events across multiple departments, including arranging resources and schedules
* Support development and implementation of internal procedures and operational systems
* Prepare and distribute department-wide communications for leadership review
* Interpret and communicate management policies to employees and customers as needed
* Manage email correspondence on behalf of leadership, including drafting responses using sound judgment
* Authorize expenditures within pre-approved limits established by leadership
* Record, transcribe, and proofread documentation as required Physical Requirements & Environment
