Position Summary
MAG Aerospace is seeking an experienced Administrative Assistant to provide high-level administrative support to the Product Manager Electronic Warfare Integration (PdM EWI) leadership and other senior staff.

Essential Duties and Responsibilities

- Serve as the primary point of contact and personal representative for Executive Leadership.
- Greet, welcome, receive, and direct phone calls and/or in-person visitors for all internal and external parties.
- Provide administrative support and assistance to all personnel and executive leaders.
- Submitting Read-a-Heads for meetings, formatting memos IAW AR 25-50.
- working with IT and HR departments to support incoming and outgoing personnel.
- Plan and secure all necessary arrangements for travel engagements, to include schedule coordination, securing of reservations, notifying relevant organizations and officials at destinations, preparing travel, and briefing materials, completing, and submitting travel authorization requests, vouchers, and travel reports for both local and international travel.
- Oversee the scheduling, management, and facilitation of PdM EWI leadership calendars and engagements.
- Organize and manage PdM EWI Operations Calendar.
- Support change management processes and activities.
- Coordinate scheduling of staff meetings, compiling and presentation of briefing materials, and documentation of meeting minutes and executive summaries.
- Coordinates onboarding activities of new employees with IT and HR.
- Operational planning, coordination, and execution of various internal and external social functions and events, including team building events.
- Complete employee payroll reviews, corrections, and tracking.
- Analyze Other Direct Cost (ODC) requests to verify contract requirements, vendor quotes, per item costs, and documentation to allow for completion and entry of forms for approval.
- Prepares and coordinates the formatting, documentation, staffing, and tracking of command correspondence and memorandums.
- Organizes the synchronization, planning, and implementation with the graphics department for company branding/re-branding, logo design and development, event services, as well as the creation of brochures, challenge coins, apparel, certificates, awards, and business cards.
- Works with PM EW&C and C5ISR campus security managers to manage internal accesses and clearances.
- Coordinate with facilities management as it relates to PdM EWI daily operations and requirements.

Minimum Requirements
Knowledge and Skills
- Experience providing administrative support, including for senior military and civilian executives.
- Experience in using DoD time and attendance and travel systems.
- Experience managing calendars, coordinating meetings, visits request, etc.
- Excellent interpersonal skills, proven verbal and written communications, and the ability to work on multi-functional teams in a fast-paced environment.
- Ability to self-start and multi-task in a fast-paced environment and prioritize multiple tasks with minimal supervision.
- Must be able to adapt to changing customer requirements and priorities.
- Excellent organizational, problem solving, and critical thinking skills.
- Proficiency with all aspects of MS Office including Outlook, Word, PowerPoint, and Excel
- Expertise in calendar functions of MS Outlook.
- Experience in using SharePoint for routine collaboration.
Education & Experience
- High school diploma/GED
- 2+ years of experience in DoD program management office.
Preferred Qualifications
- Proficiency in preparing travel orders using the Defense Travel System (DTS)
- Knowledge of AR 25-50.
Other Qualifications
- Ability to travel 10 conus
- Ability to work in office environments

Salary at MAG Aerospace is determined by various factors including but not limited to location, the particular combination of education, knowledge, skills, competencies, and experience as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $0 to $80,000 (annualized USD). The estimate displayed represents the typical salary range for this position and is just one component of MAGs total compensation package for employees.
