The Boeing Defense Space & Security (BDS) Vertical Lift Division has an exciting opportunity for an Executive Office Administrator position located in Mesa, Arizona.
The selected candidate will provide high-level administrative support to the Vertical Lift Division Vice President and several executive leaders, ensuring efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fun and fast-paced environment. The BDS Vertical Lift Division is responsible for manufacturing the most advanced military rotorcraft in the world and is renowned for leading-edge solutions that deliver proven capabilities. With 60 years of expertise and a global fleet over 2,500 strong — comprising the AH-6 Little Bird, AH-64 Apache, V-22 Osprey and H-47 Chinook aircraft and in-development entrants, including the MH-139A Grey Wolf — Boeing advances missions ranging from precision attack and reconnaissance to medium and heavy lift operations.
Position Responsibilities:
In this role, you will collaborate across various functions to perform tasks for Executive Level (E3) and above managers on the executive payroll. The primary focus areas you will support are as follows:
- Coordinates and processes domestic and international business travel arrangements, monitors designated business travelers logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards. Collects and compiles data to provide visibility of status for travelers review and/or signature.
- Creates, edits and maintains electronic and written communication.
- Tracks and maintains information relative to department and business operations.
- Verbally communicates a wide variety of information to multiple audiences.
- Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information.
- Prioritizes and schedules management-level employee time and availability for efficient use of time.
- Tracks and maintains designated conference room schedules for availability and efficient use of resources.
- Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.
- Orders and maintains office supplies.
- Plans and implements logistics for senior executive level internal and external events.
- Provides guidance to less experienced employees.
- Must demonstrate ability to work in confidential settings and work under minimal supervision.
This position is expected to be 100 onsite. The selected candidate will be required to work onsite at the listed location.

Basic Qualifications (Required Skills/Experience):
- 5 or more years of experience coordinating and processing domestic and/or international travel arrangements
- 5 or more years of experience developing and/or maintaining integrated schedules
- 5 or more years of experience providing administrative support to multiple customers such as executives, managers, and staff members
- 5 or more years of experience with Microsoft Word, Excel, Outlook, and PowerPoint
Preferred Qualifications (Desired Skills/Experience):
- 3 or more years of experience in partnering with executives to develop and manage the operating rhythm/cadence for executive leadership teams
- 3 or more years of experience collecting, interpreting data, and managing high level projects for Executives or Senior Leadership
- 3 or more years of experience managing and organizing multiple deliverables and deadlines with minimal direction
- 3 or more years of experience using Concur and/or Travel&64;Boeing to book travel and/or submit expense reports
- 3 or more years of experience engaging directly with government customers, including USG personnel, Congress, or foreign embassies

Summary pay range for senior level: $64,600 – $87,400
