Responsibilities
Position SummaryThe Human Resources Information System (HRIS) Specialist will report to the Assistant Director of HRIS and Compensation and is responsible for providing systems and employee support to all business departments in related day-to-day needs. The successful candidate will be responsible for communicating needs proactively with their Leader and other department Leaders.
Job Responsibilities
HRIS Reporting & Support
- Help to resolve employee questions and discrepancies in HR system and notifying leaders of errors and needed updates.
- Process terminations, shift changes and other HR data changes as requested in HR system.
- Provide user support for HR system by researching and resolving problems as needed.
- Manage maintenance team movement in Workday to include, seniority tracking, bonus payments, and aid in opening replacement requisitions.
- Maintain seniority lists and bidding order for IAM group.
- Manage anniversary step increase changes by running Workday report of upcoming anniversary increases, notify manager, collect performance information, and process HR system changes.
- Update Crew Seniority dates per Longevity report provide by Crew Pay Team.
- Provide monthly ALPA reports to the ALPA Membership Administrator.
- Process Time off bank adjustments for all new hires and other MSS team members upon request.
- Main point of contact for Workday report requests and provide support to create new reports and schedule reports for teams.
- Manage Workday security requests to AA IT.
- Connect with AA IT on any access issues that need corrected or updated.
- Owner of compliance reports, such as state-required employee data requests for AAP, EEO and Vets reporting.
- Supply Semi-Annual OSHA reports.
- Maintains HRIS data integrity by reviewing and evaluating system data for accuracy.
- Analysis of processes for potential improvement.
- Testing of Workday business process changes.
- Assist leader with HRIS outside vendor integrations and relationships.
- Assist leader with system updates and change management activities.
Pre-boarding & Onboarding Support
- Support as needed with the initiation of Onboarding process for new hires.
- Support as needed with processing the HRIS Onboarding and follow up with new hire through to completion.
- Support as needed with sending Day 1 email to new hires with details on Day 1 onboarding.
- Support as needed with Day 1 connection with new hire and leader to complete I-9 verification and complete of Workday Onboarding.
- Administrator for E-Verify relationship and processes.
- Review, track, and process new hire and employee immigration/foreign documents and forms for work authorization to include connecting with team member when a document expiration date is approaching, and needs updated.
HR, Compensation & Payroll Support
- Assist other HR team members by answering questions and directing employees to the appropriate contacts for their related issues. Specifically, work with HR leaders to resolve issues with employee information in HR system, new hire questions, MSS payroll discrepancies, and legal work documentation requirements.
- Document work processes and create work instructions.
- Manage Pilot Sign-On bonus payment process.
- Manage and update pay changes in HRIS.
- Responsible for the Companys Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
- Performs other duties as assigned.
Position Specifics
QualificationsRequired
- High school diploma or equivalent.
- At least 3 years’ experience in Human Resources (any area).
- 1-2 years’ experience with Human Resources system (HRIS).
- 1-2 years’ experience Applicant Tracking System (ATS) support.
- Intermediate to advanced skills with Microsoft Office programs, including Excel.
- Ability to collect, interpret, and analyze employee data, experience with HR dashboards.
- Proven track record of maintaining high levels of confidentiality.
- Working knowledge of employment and record keeping laws related to HR.
- Some experience with immigration and foreign document analysis and processing.
- Exposure to or experience with privacy policies as applied to employee data.
- Ability to speak/read/write in English.
- If hired, must be able to demonstrate that you are authorized to work in the U.S.
Preferred
- Bachelor’s degree in Human Resources or a related field.
- Workday HRIS experience.
- iCIMS Applicant Tracking experience.
Additional Information
Supervisory Responsibility: This is not a supervisory position.
Delegation: In absence, responsibilities delegated to the Assistant Director of HRIS & Compensation.
Authorities: None.
Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
