Job Description:
The jobholders are accountable for the business support related activities within FHS operations (IASMM) and has the following responsibilities to support the FHS team in Kuala Lumpur. In addition, the jobholder is responsible for active link and communication with the local management and central team to ensure consistency of process and activities
The Jobholder is responsible for managing the FHS team daily office procedures & procurement activities, ensuring compliance of Environment, Health and Safety (EHS) requirements in the office, and supporting the business in project planning & execution.
Managing office stock, preparing regular reports (e.g. expenses and office budgets), travel arrangement coordination for the Team.
Disseminate the regional operation SMR scope such as AOS, Process Quality, Comp & Learning, Business Controlling, Change & Improvement, EHS & Governance, Innovation align with the central process
The job holder is required to work with shared services ie HR & IT to ensure staff onboarding, move & leaving are handled well.
Develop & maintain the IASMM regional operations dashboard / KPIs and associated actions follow up and closure
Manage end to end technical and soft skills requests for up skilling activities. To lead, organize, monitor, record, and update staff training and recurrent training on appropriate system
The job holders is required to work with other stakeholders in Central and Region as and when required on FTE updates, process updates and etc
Manage office supplies stock and place orders as per Airbus processes.
Manage the team’s operating costs.
Support HO FHS in headcount tracking and hiring for AMSM organization including planning of Hiring event and newcomers onboarding
Prepare regular reports on expenses and office budgets.
Update office policies / guidelines as needed.
Ensure HS policy/rules implementation and compliance at office set-up
Ensure IASMM distribution list update, Management of FHS KUL site updates,
Ensure our administrative activities run smoothly on a daily and long-term basis.
Other duties reasonably determined from time to time by the Company
Support HO IASMM coordinating and organizing yearly objectives workshop – Hoshin Kanri and review
Support HO IASMM subcontractors management in Contractual obligations, cost monitoring and renewal
Implement Airbus standard operating procedures and support other project implementation
Support in managing travels and accommodations reimbursement processes as per Airbus processes.
Ensure staff onboarding, move & leaving are handled well
Part of the AMCS EHS committee and work closely with the committee member for EHS policy/rules implementation and compliance at office set-up
The job holder is required to lead / assist in organising activities for team building / events held in office / External event / sustainability purposes.
