Job Description:

As a Labour Relations Assistant, you will provide essential administrative and clerical support to the Labour Relations team. In this role, you will contribute to maintaining smooth labour relations processes by managing critical documentation, data analysis, and communications. Your primary responsibilities involve assisting with employee relations, collective bargaining, grievance procedures, investigations, disability management, and compliance with labor laws and regulations.

This is a fixed term employment opportunity for 12 months.

Administrative Support:

  • Maintain accurate and up-to-date records related to employee grievances, arbitration cases, and collective bargaining agreements.
  • Prepare correspondence, reports, and other documents as required by the Labour Relations team.
  • Organize and maintain electronic and physical filing systems for easy access to relevant documents and information.

Data Management:

  • Assist in collecting, organizing, and analyzing data related to labor relations activities, such as attendance, employee demographics, grievances, and arbitration outcomes.
  • Compile data into comprehensive reports and presentations to support management decision-making and strategic labor relations initiatives.

Communication:

  • Liaise between management, employees, and union representatives, fostering positive relationships while responding to inquiries and relaying information accurately and confidentially.
  • Draft communications, including emails and letters, regarding human relations matters.

Meeting Coordination:

  • Schedule and coordinate meetings, hearings, and mediation sessions between management and union representatives.
  • Prepare meeting agendas, take detailed minutes, and ensure prompt distribution of materials.

Disability Management:

  • Serve as the initial contact for workers compensation claims and assist with attendance and disability management by generating reports and supporting the coordination of accommodations.
  • Strong MS Office Suite skills (Word, Excel, PowerPoint)
  • Completion of a one- or two-year college or other program for administrative assistants or secretaries or previous clerical experience is required.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proven problem-solving abilities and the capacity to manage competing priorities.
  • Exceptional verbal and written communication skills.
  • Meticulous attention to detail.
  • Experience working in a unionized environment.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Demonstrated ability to work independently as well as part of a team in a fast-paced environment.
  • Experience with HRIS and database management systems are an asset.
