JOB TITLE: Pilot Records Coordinator

DEPARTMENT: Pilot Records - Operations

REPORTS TO: Director of Training and Standards

FLSA: Non-Exempt

The Pilot Records Coordinator is responsible for managing and maintaining the records and documentation of pilots and flight crew members. They ensure that all records are accurate, complete, and compliant with relevant aviation regulations. They confidentially handle various functions specifically related to the training and compliance regulations that govern airline operations. This role plays a critical part in supporting flight operations and ensuring the safety and regulatory compliance of the airline or aviation organization.

Key Responsibilities include but are not limited to:

  • Maintain and update electronic and paper records for all pilots and flight crew members. Ensure that records are complete and up to date.
  • Stay current with aviation regulations and ensure that all pilot records are compliant with relevant regulatory requirements, including those set by the FAA (Federal Aviation Administration) or other relevant authorities.
  • Accurately input and organize pilot information, including training records, licenses, medical certificates, and other essential documentation into databases or record-keeping systems.
  • Promptly address any discrepancies or missing information in pilot records promptly.
  • Collaborate with different departments, such as HR, recruiting, training, and operations, to obtain necessary records and documentation. Communicate effectively with pilots and crew members to obtain required information and documentation.
  • Ensure the confidentiality and security of pilot records and sensitive information, following established security and data protection protocols.
  • Generate reports and summaries of pilot records as needed for management, regulatory agencies, and auditors.
  • Assist with record retention to ensure compliance with regulatory requirements while anaging storage costs effectively.
  • Maintain accurate and complete training records for all employees in accordance with FAA regulations; follow up on any training discrepancies and obtain any missing documentation.
  • Maintain accurate and complete TSA security files in accordance with TSA regulations.
  • Maintain accurate and complete spreadsheets/record-keeping systems for all training/TSA security/other data.
  • Assist with tracking instructor/trainee schedules.
  • Track and communicate to appropriate parties, any upcoming document expiration dates.
  • Coordinate with training vendor to ensure AFSP requirements for crew members are met.
  • Submit and maintain all PRIA documents and reports.
  • Respond to any PRIA/DOT requests.
  • Track all pilot currency for recurrent training, checking and medical requirements.
  • Remove all de-qualified pilots from active duty and notify HR of pilot statuses.
  • Collaborate with training department to schedule all required training events.
  • Other duties as assigned, including supervision of any interns or office assistants assigned to Records.

Qualifications:

  • High school diploma or equivalent (Bachelors degree in aviation or related field preferred).
  • Knowledge of aviation regulations and record-keeping requirements.
  • Proficiency in using record-keeping software and databases.
  • Ability to work in a team and collaborate with various departments.
  • Knowledge of data security and privacy regulations.
  • Prior experience in aviation or record-keeping is a plus.
  • Ability to handle and maintain confidentiality in all areas.
  • Strong interpersonal skills – ability to communicate succinctly and effectively across all levels of the organization .
  • Professional in appearance and manner; courteous in all interactions.
  • Detail-oriented and self-motivated; able to work and meet deadlines under minimal supervision.
  • Thorough knowledge of Federal Aviation Regulations (FARS), various FAA/TSA regulations relating to training and aviation.
  • Working knowledge of state Workers Compensation and OSHA regulations.

Miscellaneous Requirements:

  • Valid driver’s license and reliable transportation.
  • Computer, office equipment, phone skills.
  • Ability to read, write and speak English effectively.
  • Ability to work within a 24/7 operation including holidays.
  • Ability to pass 10-year background check and pre-employment drug screen as required by company and/or airline regulations.
  • Authorized to work in the U.S. per the Immigration Act of 1986.
